An application letter, also called a cover letter, is a short formal letter written to introduce yourself when applying for a job. It explains who you are, the position you are applying for, your qualifications, and why you are suitable for the job. It should be formal, brief, and usually one page long.

A good application letter has four main parts. The first part is your personal information, which includes your full name, postal address, phone number, email address, and the date.

The second part is the employer’s address. For example: The Secretary, President’s Office, Public Service Recruitment Secretariat (PSRS), P.O. Box 2320, Mahakama Street, Tambukareli, Dodoma.

The third part includes the subject line and greeting. Write the subject in capital letters, such as “RE: APPLICATION FOR THE POST OF SECONDARY SCHOOL TEACHER (BIOLOGY)”. Then greet politely using “Dear Secretary,” or “Dear Sir/Madam,”.

The fourth part is the body of the letter. It should have three short paragraphs. In the first paragraph, introduce yourself and mention the position you are applying for and where you saw the announcement. For example: “I am writing to apply for the position of Secondary School Teacher (Biology), as announced through the Ajira Portal under advertisement number 10026.” In the second paragraph, explain your qualifications and skills. For example: “I hold a Bachelor’s Degree in Education (Biology) from the University of Dar es Salaam. I am passionate about teaching and have strong classroom management and communication skills.” In the third paragraph, request consideration for the position and express your readiness for an interview. For example: “I would appreciate the opportunity to contribute to improving education standards in Tanzania. I am available for an interview at your convenience and can be reached at 0756 000 000.”

Finally, end the letter politely with “Yours faithfully,” followed by your signature and full name.

Keep your letter one page long, use formal English, and include only relevant qualifications. Attach copies of your certificates, CV, and other required documents. When submitting through the Ajira Portal, upload the letter as a PDF file if possible.
